The terms overlap, but a repair order is typically the shop-facing document that authorizes and itemizes a specific repair job — including the complaint-cause-correction record and a customer or department approval — while a work order is the broader operational ticket that assigns and tracks any task. Many fleets use the two interchangeably.
The three-Cs format (also called the 3-C method) creates a clean diagnostic trail: what was reported, what was actually wrong, and what was done. It improves accuracy, supports warranty claims, and makes the repair history far more useful when a fault recurs.
For vendor, warranty, and higher-cost repairs, capturing estimate approval before work begins protects both sides and prevents disputes over unauthorized charges. Build the approval line into the RO so it is never skipped.
Each closed RO should feed the vehicle's service history and your parts and labor cost tracking. Linking the RO to any originating DVIR or maintenance request also closes the loop on the reported defect.
