How to use it

List each vehicle (unit number / VIN) down the left and record its current odometer reading.

For each service row, enter the interval your OEM recommends — light-duty and heavy-duty differ, so check the manual.

Calculate next-due mileage by adding the interval to the last-service reading.

Sort by next-due mileage so the unit closest to service rises to the top of your queue.

Update the last-service mileage each time work is completed and recalculate the next-due value.

Intervals are typical starting points for light/medium-duty vehicles — always defer to the manufacturer's schedule. Heavy-duty and severe-duty cycles run shorter.

Quick answers to the questions buyers usually ask once the category, software, or rollout details start getting more specific.
Use whichever comes first. High-mileage vehicles hit odometer intervals quickly; low-mileage vehicles still need time-based service (oil oxidizes, seals dry out). The template is mileage-led, but add a time backstop — for example, oil at 7,500 miles or 12 months, whichever is sooner.
There is no single correct number — intervals depend on the OEM, duty cycle, and operating conditions. Severe-duty use (stop-and-go, heavy loads, dusty routes, extreme cold) shortens every interval. Start from each vehicle's manual and tighten from there.
For a handful of vehicles, a spreadsheet schedule works well. As you scale, automatic odometer capture, reminders, and work-order history become hard to manage by hand — that's where dedicated software earns its cost.
Sort by next-due mileage, review the list weekly, and flag anything within 1,000 miles of its interval. Pairing the schedule with telematics odometer feeds removes the manual reading step entirely.
