If a driver violates a policy, the signed acknowledgment is your evidence that they received and understood it. It supports consistent enforcement and progressive discipline. It does not, by itself, create or remove employment rights — confirm the wording with counsel.
Re-issue the acknowledgment whenever you materially update the handbook or its key policies, and many fleets re-confirm annually. Keep each signed version with its revision date so you know which policy the driver agreed to.
Some policies (like the drug & alcohol policy) benefit from their own dedicated sign-off. This form acknowledges the handbook as a whole and lists the key policies, but you can keep separate acknowledgments where the stakes are high.
Most handbooks include language clarifying the handbook is not an employment contract and that employment is at-will where applicable. Jurisdiction rules vary, so confirm the statement with counsel before using it.
