Free Fuel Card Reconciliation Sheet

A fuel card reconciliation sheet that matches each card transaction to a driver, vehicle, and receipt, so off-policy purchases, mismatched gallons, and possible card abuse surface before the statement closes. Use it alongside our fleet calculators to size the costs this template tracks, or browse fleet management software when you are ready to automate the workflow. See all downloads in the template library, and check the fleet glossary for any unfamiliar terms.

  • A line per transaction: date, card, driver, vehicle, gallons, and amount
  • Odometer and resulting MPG columns to flag fills that don't fit the vehicle's pattern
  • A receipt-matched flag and variance column to catch missing or mismatched purchases
  • An exception note field for off-hours, off-route, or off-product transactions
  • Editable CSV. Yours to keep

How to use it

  1. 1

Import or enter each fuel card transaction from the provider statement.

  2. 2

Assign each transaction to the correct driver and vehicle by card number.

  3. 3

Enter the odometer at fill and let the sheet compute miles and MPG against the prior fill.

  4. 4

Match each line to a receipt and flag any transaction with no receipt or a quantity mismatch.

  5. 5

Investigate exceptions (abnormal gallons, off-hours fills, premium fuel on a diesel unit) before approving the statement.

Fuel Card Reconciliation Sheet

MPG = miles since last fill ÷ gallons. A figure far outside a vehicle's normal range can signal a missed odometer entry, a fill into the wrong tank, or card misuse.

Frequently asked questions

Quick answers to the questions buyers usually ask once the category, software, or rollout details start getting more specific.

A

Fuel card reconciliation is the process of matching every fuel card transaction to a driver, vehicle, and receipt, then checking each one against expected fuel use. It catches missing receipts, data errors, and potential card misuse before the statement is paid.

A

Fills that exceed a vehicle's tank size, transactions while the vehicle is parked or off-route, premium fuel on a diesel unit, and MPG figures far outside the norm are all red flags that a reconciliation sheet surfaces line by line.

A

Reconcile at least each statement period, but weekly is better for larger fleets. The sooner an exception is found, the easier it is to investigate while the driver still remembers the fill.

A

Provider controls (product locks, gallon limits, time-of-day rules) prevent many issues, but reconciliation against your own odometer and receipt data still catches errors and patterns the card network can't see.
