Because transponders can be misread, mounted in the wrong vehicle after a reassignment, or occasionally charged for a facility the vehicle didn't actually use, and none of that shows up unless someone checks the transaction against an actual trip. Reconciling monthly is what catches a misassigned transponder before it has generated a few months of wrongly billed charges.
The strongest basis is a transaction with no matching trip record for that vehicle on that date — dispatch records, telematics location history, or driver logs that show the vehicle wasn't on that route. A charge that does match a real trip usually isn't worth disputing even if the amount looks high; disputes are for genuine mismatches, not general cost concerns.
Most often a transponder that was physically moved between vehicles without updating the assignment record, or a new vehicle issued a transponder that was still registered to the unit it replaced. Keeping the transponder-to-unit assignment list current, and updating it the same day a transponder moves, prevents most of this category of discrepancy.
Dispute windows vary by toll authority and can be shorter than a full billing cycle, which is exactly why monthly reconciliation matters — waiting until a quarterly review can put a legitimate dispute outside the window to raise it. Confirm the specific dispute deadline for each toll authority your fleet operates through.
