What you get

  • Weighted criteria — price, quality, lead time, support, reliability — that sum to 100%
  • A 1–5 rating per criterion per vendor, multiplied by weight into a weighted score
  • A total weighted score per vendor for an apples-to-apples ranking
  • A notes column to record the evidence behind each rating
  • A worked example scoring three vendors against the same criteria

How to use it

  1. 1

Decide the criteria that matter and assign each a weight that reflects its importance (weights sum to 100%).

  2. 2

Rate each vendor 1–5 on every criterion based on quotes, references, and past performance.

  3. 3

Let the sheet multiply each rating by its weight and total the weighted scores.

  4. 4

Rank vendors by total score and use the notes column to justify the rating in review.

  5. 5

Re-score periodically so the scorecard reflects actual delivered performance, not just the pitch.

Frequently asked questions

Quick answers to the questions buyers usually ask once the category, software, or rollout details start getting more specific.

A

A vendor scorecard is a structured way to evaluate and compare suppliers against weighted criteria like price, quality, lead time, and support. It replaces subjective vendor decisions with a consistent, documented score.

A

Weight each criterion by how much it actually affects your operation. A fleet that lives or dies on uptime might weight lead time and reliability heavily; one that's cost-driven might weight price highest. The weights must sum to 100%.

A

Multiply each vendor's 1–5 rating on a criterion by that criterion's weight, then sum across all criteria. A vendor rated 4 on price (weight 30%) and 5 on quality (weight 25%) earns 1.2 + 1.25 from those two lines, and so on.

A

Re-score at least annually and whenever a contract is up for renewal. Scoring against actual delivered performance — late shipments, defect rates, responsiveness — keeps the scorecard honest rather than reflecting the original sales pitch.
