How to use it

  1. 1

    Pull total miles and total gallons for the quarter from your trip sheets and fuel logs.

  2. 2

    Calculate fleet MPG: total miles divided by total gallons.

  3. 3

    Enter miles traveled in each jurisdiction; the worksheet derives taxable gallons (jurisdiction miles ÷ fleet MPG).

  4. 4

    Enter gallons purchased in each jurisdiction (from fuel receipts).

  5. 5

    Net taxable gallons against purchased gallons by jurisdiction to find tax due or credit, then file with your base jurisdiction.

IFTA applies to qualified motor vehicles operating across member jurisdictions — generally heavier commercial vehicles crossing state/provincial lines. Confirm whether your vehicles qualify; the thresholds are defined by the agreement.

A

Taxable gallons in a jurisdiction equal the miles you drove there divided by your fleet's average MPG for the quarter. You then net that against gallons actually purchased in that jurisdiction.

Mileage records (trip sheets/odometer or GPS) showing per-jurisdiction miles, and fuel receipts showing gallons and where purchased. Keep them for the retention period your base jurisdiction requires.
