What fleet software costs to commit to
We opened the pricing page of every vendor on this site, then read their master agreements, and recorded four things a buyer cannot otherwise compare: whether there is a price at all, what that price is charged against, whether you can try it, and what the contract locks you into. 13 of 38 publish a rate. The other 25 route you to a form.
Every row below was checked against the vendor's own website, not a review aggregator, and carries the date it was checked. Where a vendor publishes nothing, that is what we recorded — we did not fill the gap with a third-party estimate. Last checked Sep 30, 2026.
Rajat Gupta runs FleetOpsClub and writes its software reviews, comparisons and pricing pages. Every tool on the site is assessed against the vendor's own published documentation and pricing, and each pricing figure carries the date it was last verified so readers can judge how current it is. Where a vendor does not publish a price, the page says so rather than estimating one.

What the price is charged against
A monthly rate means nothing until you know what it multiplies. Across 38 vendors we found 7 different billing units, which is why two quotes that both read “$30 per month” can differ by an order of magnitude once your fleet is priced out. A per-shop rate does not move when you add vehicles; a per-vehicle rate does. A per-driver rate diverges from a per-vehicle rate in any fleet where vehicles outnumber the people driving them — which is most of them.

The largest single group is the 18 vendors who do not state a unit at all. That is not an oversight in our data — it is the finding. You cannot model the cost of these products before a sales call, because the vendor has not said what it charges against.
Who lets you try it first
A demo is not a trial. In a demo, someone shows you their fleet. In a trial, you put your own vehicles in and find out whether the thing works on your data. 13 of 38 vendors let you start something yourself — a free trial or a free tier. 20 do not: they either offer a scheduled demo or advertise nothing at all. A further 3 offer neither, but will refund you if you change your mind inside a window, which is the closest thing to a trial that a hardware-shipping vendor can give you.
We kept “none advertised” separate from “not stated” on purpose. The first means we read the pricing page and there is no trial on it. The second means we could not tell — true for exactly two vendors here, and we would rather say so than round it off.

What you are actually committing to
This is the part no pricing page shows. We read each vendor's own master agreement or terms and recorded the minimum term, whether it renews by itself, and how much notice you must give to stop it. 18 of 38 auto-renew. 4 describe the arrangement, in their own words, as a lease.
The notice windows are the trap. They run from 7 days to three months, and they are counted backwards from a renewal date you have to remember without being reminded. Miss it and the next term has already started.

Who owns the box when you leave
Hardware advertised as free is usually not sold to you. On 14 of 38 vendors the device stays the vendor's property, and leaving means uninstalling every unit and shipping them back inside a window that can be as short as seven days — at your expense, with replacement cost billed for anything that does not arrive in acceptable condition.
For a fleet of any size this is the real switching cost, and it appears on no pricing page we checked.

How we checked
One rule decides every row: does the vendor state a price on its own website? A “starting at” figure on a marketing page counts. A form that emails you a quote does not, however quickly it replies.
We only use the vendor's own pages. Review aggregators carry per-vehicle figures for several of the vendors in the quote-only group, and we deliberately left those out — they are not the vendor's numbers, and they are frequently stale.
Prices move. Three of the vendors below changed their published rates within eight days of our last check, so every row carries its own date rather than one date for the page. We re-verify quarterly.
The contract and hardware rows come from each vendor's own master agreement, terms of service or hardware schedule — linked on every row so you can read the clause yourself. We recorded a minimum term only where the document states one. Many agreements defer the term to an order form that is not public, and we marked those “not stated” rather than repeating a number from elsewhere. We marked a deal a lease only where the vendor's own document uses the word.
Where we came up empty. 9 of the 38 vendors publish no customer agreement on their own domain at all — only a website terms-of-use page, which governs browsing the site rather than buying the product. Those rows are blank here. That is a finding about disclosure, not a gap we filled with guesses.
